Administrative Assistant

A local structural engineering firm located in the heart of downtown Memphis is seeking an experienced Administrative Assistant to become the right hand of our owner, handling crucial daily operations with a blend of technical and administrative skills.

Key Responsibilities:

Administrative Assistant
  • Manage professional communication through phone, email, and text, including appointment scheduling, client inquiries, and follow-ups.
  • Handle financial tasks such as creating invoices, receiving payments via QuickBooks, managing bill payments, and bank reconciliations.
  • Maintain a digital project database and files with regular data entry and updates.
  • Assist in preparing quarterly sales reports and organizing multimedia files.
  • Transcribe and edit field notes to draft technical reports, proofread and format final documents.
  • Engage in social media marketing, including content creation and management on platforms like LinkedIn, Instagram, and Facebook.
  • Utilize multiple web-based applications effectively.
  • Participate in job site visits, demonstrating flexibility and practical skills in diverse environments.
  • Provide support during off-hours as necessary, showing a commitment to project timelines and client needs.

Requirements

Desired Skills and Experience:

  • Proven experience in an administrative role within the building industry, construction, or related fields.
  • Strong proficiency in MS Office, QuickBooks Online, and other relevant software (PDF Editors, Adobe Creative Cloud, Wix, Airtable, Dropbox, Company Cam, Evernote).
  • Excellent verbal and written communication skills, with the ability to perform technical writing and maintain high standards in document management.
