Maintenance Contract Administrator
About you and this role –
What you will do in this role
- Act as maintenance focal point in determining area maintenance service contractor strategies, administration of service contracts and interactions with service contractor company representatives on matters pertaining to one of the service contractor companies.
- Act as a focal point for acquisition, scheduling and distribution of materials, supplies and service requisitions in order to expedite materials
- Act as focal point for all SIS, GMISS, and other Maintenance documentation record-keeping in SAP and local folders.
- Requires broadened technical skills in operational and maintenance processes to perform a defined array of activities.
- May act as an informal resource for site members with less experience.
Maintenance Contract Administrator
Responsibilities –
Duties, projects, tasks, and activities you would be responsible for in this role
- Interfaces with maintenance subject matter experts (SME) to assess the contractor’s technical qualifications for the contracted service.
- Supports Purchasing in contract negotiations with the contract company, as applicable.
- Maintains a copy of the contractors current safety program.
- Manages the activities of the contractor based on the terms and conditions of the contract.
- Conducts audits on respective contractor requirements to ensure requirements are being met. Resolves issues pertaining to delivery of service defined within the contracts.
- Fosters a continuous improvement mindset.
- Conducts field audits, EH&S standard assessments and observations, as needed. Reviews and evaluates audit findings for aligned contractors and partners with contractor leadership to develop and implement action plans to close opportunity areas.
- Participates in Root Cause Investigations (RCIs) for aligned contractors to ensure true root cause is determined and actions are identified and implemented to close gaps.
- Participates in contractor safety meetings, as needed, and leverages Dow expectations and key learnings, as appropriate.
Maintenance Contract Administrator
- Ensures contractors receives site indoctrination with verification of understanding and documentation covering the general site rules and standards general to the contractor’s work site. Ensures a process exists that allows the contractor access to the current copy of the pertinent safety standards. Determines what type of contractor card and site access the contractor requires. Ensures documentation of the contractors training records are forwarded to the contractors.
- Enters materials, tools, equipment requests via Procurement System or Pro-card and confirms delivery date.
- Communicates to the focal point with status updates on orders including any issues such as delayed delivery.
- Communicates any potential changes in material specifications between supplier and requestor and initiates system updates, as appropriate.
- Coordinates the disposition of all surplus material. Coordinates the repair and/or return of materials, tools and equipment obtained on a value added work order.
- Monitors/tracks materials, tools and equipment orders upon receipt.
- Prepares requisitions for off-site resources and for outside of maintenance, as needed.
- Arranges materials, tools and equipment in a manner, that it can be identified and picked up according to job needs.
- Gathers information and inputs into the appropriate maintenance measures/key performance indicators (KPI). Uses metrics to measure materials coordination tasks and develops action to improve the process.
- Communicates vendor performance to procurement services.
- Works closely with procurement, coding, planning, scheduling and work coordination to provide seamless execution of the Global Management Work Process (GMWP).
- Facilitates site vendor set-up, payment issues, and questions with assistance of PtP, APAY, and Purchasing.
- Upkeep SIS, GMISS, and other Maintenance documentation record-keeping in SAP and local folders.

Qualifications –
Required education, experience and abilities that are needed for this role (must haves)
- Ticketed Trade, College Diploma, Bachelors Degree OR at least 3-5 years in customer service, purchasing, or contract management.
- A minimum requirement for this Canada based position is the ability to work legally in the Canada. No visa sponsorship/support is available for this position.
